Summary -
The Development Operations Coordinator (DOC) supports the NSLM Development Team, while providing administrative and logistical support to the President & CEO. This position maintains the donor database by entering and updating constituent information, managing contact reports, and inputting all donations. The DOC is also responsible for managing member information, giving histories, and all correspondence related to giving. The DOC researches donors using the available tools, identifying prospects, and creating profiles on donors for upcoming visits and events. This role also supports the Development & Events Manager and Education Manager in the strategic planning and production of events and programs.
A successful candidate will be proactive, have strong problem-solving abilities, and be able to utilize strong administrative, organizational, and diplomatic skills. Teamwork is required on tasks, projects, and initiatives that further the NSLM’s mission and goals.
Job Responsibilities -
Membership
- Process all gifts in Raiser’s Edge NXT, assisting the bookkeeper and Director of Development in tracking gifts to maintain a global understanding of NSLM income streams
- Maintain donor database
- Manage membership renewal process through weekly direct mailings and merged email correspondence, including updating membership recognition on website and in publications
- Assist with donor pipeline management by researching prospects, entering contact reports, and assigning after actions to NSLM staff as directed
- Track outstanding invoices for sponsorship and pledges as directed by the Director of Development, managing receipt correspondence for all gifts including end of year tax acknowledgment letters
- Assist in producing membership and giving reports for Board presentations, NSLM Magazines, annual report, and any other time under direction of the Director of Development and President & CEO
Admin
- Provide executive support to the President & CEO including:
- Scheduling, preparing reports, providing logistical support for meetings and gatherings including travel arrangements and reservations
- Coordinating food, beverage, and vendors for small prospect dinners and events at the offsite executive residence, including picking up/sourcing items from necessary locations
- Manages expenses, including collecting receipts, coding expenses and submitting to bookkeeper, tracking all expenses and submitting for personal reimbursement as needed, reconciling monthly P&L and submitting quarterly expenses for Advancement reimbursement.
- Manage a variety of office procedures and daily operations, including photocopying, filing, check requests, parcels and correspondence, answering inquiries via telephones and email, routing invoices, and collecting & reviewing mail
- Act as liaison between departments to facilitate communication with Board; create and compile mailings, and assemble of the Board reports for three annual Board meetings

Assist with planning and execution of events, exhibition openings, educational programs, and Board meetings including:

- Booking and liaising with vendors
- Managing guest lists including prospect research
- Managing logistical needs such as obtaining ABC licenses, permits, and sponsorships as needed

- Able to comfortably engage with donors at all levels
- Serve as an on-and off-site representative to educate the public about the NSLM and solicit support
- 2+ years experience required
- Technical skills:
- Microsoft Office Suite (including Word, Excel, and Outlook); mail merging; mass email tools; CRM Database familiarity
